1. Controller and scope

The controller is Dawid Troska, trading as Aksort Dawid Troska. Contact details and addresses are provided above. This policy covers aksort.ai, email enquiries, appointment booking and calls through Microsoft Bookings and Teams.

Data processing within a client project is governed separately according to the relevant engagement.

2. Website visits and hosting

The website is hosted on Microsoft Azure App Service. Accessing it involves processing connection data required for delivery, particularly your IP address and technical information about the requested content and HTTP connection. Depending on your browser, this may include browser information and a referrer address.

The purpose is to deliver and operate the website securely. The legal basis is Article 6(1)(f) GDPR; the legitimate interest is providing and protecting the website.

AKSORT currently keeps no website access logs of its own and uses no separate website telemetry. Microsoft processes technical operational and security data as part of its cloud services. That processing is also governed by the Microsoft terms applicable to the service.

3. Cookies, local resources and external services

The website itself sets no cookies and uses neither local storage nor analytics or marketing tracking. The language is selected through the URL you visit.

Fonts, CSS, JavaScript and icons are served by the website host. No external font services, social media widgets, videos, maps or AI chatbots are embedded. Mentioning AI products and displaying the workflow illustration do not transmit data to those providers.

External references, such as links to Microsoft or the supervisory authority, are ordinary links. Your browser only accesses the external website when you open a link. The relevant provider's privacy information then applies.

4. Email enquiries

When you send an email, your email address, any name and business contact details you provide, the message content and attachments are processed. Email communication is handled through Microsoft 365 / Exchange Online.

The purpose is to respond to your enquiry. If it concerns a contract with you or steps taken at your request before entering into a contract, the legal basis is Article 6(1)(b) GDPR. Other enquiries, including enquiries on behalf of a company, are processed under Article 6(1)(f) GDPR; the legitimate interest is handling business communication.

Providing this information is voluntary. An enquiry may not be answerable without a reachable contact address and the information needed to handle it.

5. Appointment booking and Microsoft Teams

The booking button opens our personal booking page on Microsoft Bookings. No booking widget is embedded on aksort.ai; your browser connects to Bookings only when you open the link. The booking page shows available times, not the contents of existing calendar appointments.

When you book, your name, email address, selected appointment and any optional notes are processed to arrange, confirm and conduct the meeting. Bookings stores booking data within Microsoft 365 / Exchange Online. We use Microsoft Teams for online calls; this involves processing the communication and connection data required to participate and transmit the call.

For contractual enquiries and pre-contractual steps at your request, the legal basis is Article 6(1)(b) GDPR. For other business enquiries, Article 6(1)(f) GDPR applies; the legitimate interest is organising and conducting business communication. Booking is voluntary; you can also use the email address listed above.

6. Recipients and international processing

Microsoft and the subprocessors used for the relevant cloud service may receive data where required for hosting, email communication, appointment booking and online calls. Authorities or courts may also receive data where a legal obligation requires disclosure.

Microsoft cloud services may involve access or transfers outside the European Economic Area, including for operation and support. This policy does not guarantee exclusively European processing.

Microsoft describes its contractual data protection terms, subprocessors and safeguards for international transfers, including EU Standard Contractual Clauses, in its Data Protection Addendum. You can use the contact address above to request information about safeguards applicable to your data and a copy of them.

7. Retention

AKSORT does not create its own history of your website visits. Technical processing by the hosting provider follows the operational and security requirements of the service.

Email enquiries and booking data are retained for handling the request and necessary follow-up communication. If they result in contractual records or statutory retention obligations, further retention depends on the relevant purpose and applicable legal periods. Retention for establishing, exercising or defending legal claims is limited to the period necessary for that purpose. Data must be deleted once no reason for retention remains.

8. Your rights

Subject to the legal conditions, you have rights of access and a copy of your data, rectification, erasure, restriction of processing and data portability.

You can object to processing based on Article 6(1)(f) GDPR on grounds relating to your particular situation. Please contact us at the email or correspondence address above.

You have the right to lodge a complaint with a data protection supervisory authority, particularly in the Member State of your habitual residence, workplace or the alleged infringement. In Poland, this is the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, UODO).

9. Automated decisions

AKSORT does not use automated decision-making with legal or similarly significant effects or profiling for website visits and contact enquiries.
